Subtext Privacy Statement for Research Participants

Thank you for taking part in this study. Your privacy and trust are important to us. This statement explains how Subtext collects, uses, stores, and protects your information when you participate in a research activity.

What We Collect

When you participate, we may collect the following categories of personal information:

  • Identifiers: optional details you choose to provide, such as your name, email, or demographic information.

  • Study Responses: your written answers, audio, video, transcripts, and other inputs you share during the study.

  • Internet/Technical Data: limited technical data needed to deliver the study, such as browser connection metadata.

  • Inferences: summaries or reports generated from your responses for research purposes.

  • Sensitive Personal Information: Subtext does not collect sensitive personal information (such as race, religion, health, or geolocation data) unless explicitly required by the study sponsor and only with your consent.

How Your Data Is Used

Your information is used only for research purposes, including:

  • Generating reports and summaries for the study sponsor.

  • Identifying trends or insights across participant groups.

  • Determining eligibility for incentives, if applicable.

We do not sell your data, use it for marketing, or profile you for advertising.

Who Has Access

  • The study sponsor (the company running the research).

  • Authorized Subtext staff who operate the platform.

  • Service providers under contract (such as secure cloud hosting, transcription, or authentication vendors). These providers are restricted from using your information for any purpose other than supporting Subtext.

Storage and Retention

Your responses are encrypted and stored on secure servers in the United States. Sponsors have control over archiving and deletion of study data. When a project or response is deleted, it is removed from active systems, with a secure backup retained for 30 days for recovery purposes. After this period, the data is permanently purged.

If you withdraw, we will not collect further responses. Data already submitted may continue to be used in aggregate reporting.

Your Rights

Depending on where you live, you may have specific privacy rights. If you are a California resident, these include:

  • Right to Know what information we collect and how it’s used.

  • Right to Access a copy of your information.

  • Right to Delete your information (with certain legal exceptions).

  • Right to Correct inaccurate information.

  • Right to Opt Out of Sale/Sharing (Subtext does not sell or share your information).

  • Right to Limit Use of Sensitive Information (Subtext does not use sensitive data except with consent).

You may also:

  • Decline to answer any question.

  • Withdraw from participation at any time.
