Subtext Privacy Policy for Research Participants

Introduction
Thank you for taking part in this study. Your privacy and trust are important to us. This
statement explains how Subtext ("we," "us," or "our") collects, uses, stores, and protects
your information when you participate in a research activity. This statement applies to all
participants regardless of location and includes disclosures required under applicable
U.S. state privacy laws
What We Collect
When you participate, we may collect the following categories of personal information:
Identifiers: Optional details you choose to provide, such as your name, email, or demographic information.
Study Responses: Your written answers, audio, video, transcripts, and other inputs you share during the study.
Internet/Technical Data: Limited technical data needed to deliver the study, such
as browser type, operating system, IP address, and connection metadata.Inferences: Summaries or reports generated from your responses for research purposes.
Sensitive Personal Information: Subtext does not collect sensitive personal
information (such as race, religion, health, precise geolocation, or biometric data)
unless explicitly required by the study sponsor and only with your prior consent
How Your Data Is Used
Your information is used only for research purposes, including:
Generating reports and summaries for the study sponsor.
Identifying trends or insights across participant groups.
Determining eligibility for incentives, if applicable.
We do not sell your personal information. We do not share your personal information for
cross-context behavioral advertising. We do not use your data for marketing, profiling for
advertising, or any purpose unrelated to the research study
Who Has Access
Your information may be disclosed to:
The study sponsor (the company running the research).
Authorized Subtext staff who operate the platform.
Service providers under contract who support our operations (such as secure
cloud hosting, transcription, or authentication vendors). These providers are
contractually restricted from using your information for any purpose other than
supporting Subtext and are required to maintain appropriate data security
measures.
We do not sell personal information to third parties and have not done so in the preceding
12 months. We do not share personal information for targeted advertising purposes.
Storage and Retention
Your responses are encrypted and stored on secure servers in the United States. We
retain personal information only for as long as reasonably necessary to fulfill the
purposes described in this statement, comply with legal obligations, or as directed by the
study sponsor.
Sponsors have control over archiving and deletion of study data. When a project or
response is deleted, it is removed from active systems, with a secure backup retained for
up to 30 days for recovery purposes. After this period, the data is permanently purged.
If you withdraw from a study, we will not collect further responses from you. Data already
submitted may continue to be used in aggregate, de-identified reporting
Your Privacy Rights Under U.S. State Laws
If you are a resident of a U.S. state with a comprehensive consumer privacy law, you may
have some or all of the following rights regarding your personal information, subject to
certain legal exceptions:
Right to Know/Access: You have the right to confirm whether we are processing
your personal information and to request access to or a copy of the specific
personal information we have collected about you.Right to Delete: You have the right to request that we delete personal information
we have collected from you, subject to certain legal exceptions (for example,
where retention is required by law or necessary to complete a transaction you
requested).Right to Correct: You have the right to request that we correct inaccurate personal
information we maintain about you.Right to Opt Out of Sale or Sharing: You have the right to opt out of the sale of
your personal information or sharing for targeted advertising. Subtext does not sell
personal information or share it for targeted advertising, so no opt-out action is
requiredRight to Opt Out of Profiling: Where applicable, you have the right to opt out of
profiling in furtherance of decisions that produce legal or similarly significant
effects. Subtext does not engage in such profiling.Right to Limit Use of Sensitive Information: Where applicable, you have the right
to limit the use and disclosure of your sensitive personal information. Subtext does
not use sensitive personal information except with your prior consent and only for
purposes directly related to the research studyRight to Data Portability: Where applicable, you have the right to obtain your
personal information in a portable, readily usable format.Right to Non-Discrimination: We will not discriminate against you for exercising
any of your privacy rights. You will not receive different treatment, pricing, or
quality of service for making a rights request
You may also decline to answer any question during a study and withdraw from
participation at any time.
How to Exercise Your Rights
To submit a request to exercise any of the rights described above, please email us at
privacy@subtextlabs.ai. You may also authorize an agent to submit a request on your
behalf. We may ask you to verify your identity before fulfilling your request to protect your
privacy
Response Timeline
We will acknowledge receipt of your request and respond within 45 days. If we need
additional time due to the complexity of your request, we may extend this period by up to
45 additional days, and we will notify you of any such extension and the reason for it
within the initial 45-day period. Responses to your requests will be provided free of
charge up to twice per year.
Right to Appeal
If we decline to act on your request, we will inform you of our reasons and provide
instructions for how to appeal our decision. You may appeal by emailing
privacy@subtextlabs.ai with the subject line "Privacy Rights Appeal." We will respond to
your appeal within 60 days. If your appeal is denied, we will provide you with information
on how to contact your state Attorney General to submit a complaint.
Universal Opt-Out / Global Privacy Control
Where required by applicable law, we will honor universal opt-out preference signals
(such as the Global Privacy Control) as a valid request to opt out of the sale or sharing of personal information. Because Subtext does not sell personal information or share it for
targeted advertising, recognition of such signals will not change your experience

Children's Privacy
Subtext research studies are not directed at children under the age of 18. We do not
knowingly collect personal information from children under 18 without verifiable parental
consent. If we become aware that we have collected personal information from a child
under 18 without appropriate consent, we will take steps to delete that information
promptly. If you believe a child under 18 has provided us with personal information, please
contact us at privacy@subtextlabs.ai.
Changes to This Statement
We may update this privacy statement from time to time. If we make material changes, we
will notify participants through the study interface or by other reasonable means prior to
the changes taking effect. The date at the top of this statement indicates when it was last
updated
